Job Title: Administration Support Officer
Location: 14 Great Victoria Street, Belfast, BT2 7BA
Salary: £15,074 per annum
Job Description
The role:
As an Administration Support Officer (ASO) with Criminal Justice Inspection Northern Ireland (CJI), your role will be to assist the Business Manager and Business Support Officer in providing an efficient and flexible service. This service will assist senior management and members of the Inspection Team to complete the Inspectorate’s work programme.
The main duties and responsibilities will include:

the procurement of goods and services;
-
processing invoices and staff claim forms;
-
maintaining accurate, up-to-date financial records;
-
managing and ensuring the propriety of CJI’s petty cash;
-
assisting with the publication and distribution of reports and communication material;
-
assisting with organising events such as the annual Stakeholder Conference;
-
maintaining an effective filing system;
-
completing staff absence return forms for authorisation;
-
acting as deputy premises officer;
-
carrying out reception and switchboard duties (as required); and
-
general office administration.
The above is given as an example of the duties the Administration Support Officer will be expected to undertake, but it is not intended to be a complete description of all tasks. It is important to note that the responsibilities may change to meet the evolving needs of the services CJI provides.
Essential criteria
Applicants must be able to demonstrate that they meet the following essential criteria in their written applications and at interview.
As a minimum requirement, applicants must have:
-
two GCSE passes at grades A, B or C, one of which must be English (language) or a recognised equivalent qualification; and
-
at least two years relevant experience within the last five years of administrative duties working within an office environment.
Applicants should also possess experience in all of the following areas:
-
experience of using Microsoft Office programmes such as Word and Excel;
-
experience of inputting and extracting information from computer databases;
-
dealing with customer queries in person and by telephone;
-
arranging meetings;
-
handling correspondence; and
-
keeping records.
Applications will be considered from candidates with relevant formal qualifications considered to be of an equivalent or higher standard to those stated above. It is the responsibility of the applicant to demonstrate how their qualifications are equivalent.

In the event of a large volume of applications being received, testing may also be used to form a shortlist of candidates for interview.
Qualities and skills
In addition to meeting the criteria specified, applicants will be expected to display the following competencies and provide evidence of these in their application form. These competencies will be assessed at interview:

Demonstrate effective communications skills including the ability to deal confidently and tactfully with internal/external customers.

The ability to plan and organise your workload to achieve quality results within required timescales.
